Inserting Citations

There are two ways you can use RefWorks to insert citations into a Word document and then format the bibliography for the document. One method requires that you download and install a software plugin, called Write-N-Cite, on your computer. The second method does not require the plugin.

 
 

Using Write-N-Cite

To use Write-N-Cite with Microsoft Word, you must first download and install this plugin on your computer.

  1. Start a RefWorks session. You must be using the personal computer where you will access Word.

  2. Select Tools and then Write-N-Cite. When prompted, select "Open" (not Save). Follow the onscreen instructions. When the installation is complete, you must restart your computer.

Once you have installed Write-N-Cite, you can begin to insert citations into documents. Before you start, make sure you close any open RefWorks windows.

  1. A RefWorks Write-N-Cite session will begin, and you may search or browse to find the desired reference.

  2. When you find the correct reference, just click Cite to the left of the reference.

  3. In the Word document you will see a placeholder for the citation. This will look like: {{772 Anonymous 2004; }} where 772 is the RefWorks record number, the author is anonymous, and the year of publication is 2004. If you want to cite another reference in the same place, place the cursor after the semicolon and repeat the steps above.

  4. Continue to write and whenever you need to insert a reference, simply go to your open Write-N-Cite session.

 

Inserting Citations Without Write-N-Cite

This is a two-step method. First export references and associated Ref IDs from RefWorks. Then, insert those Ref IDs in the paper.

Export References and Ref IDs

  1. Go to RefWorks, click on the References drop down menu and select Export.

  2. Select All References, My List or References from a particular folder.

  3. From the list of Export Formats choose the Citation List option and click Export to Text File. This format provides you with a list of your records and their RefWorks Reference ID number.

  4. Save or print this document for easy reference.

Insert Ref IDs

To use this method, you must know the Ref ID number for the RefWorks citation you want to insert in a Word Document. The Ref ID is a number used to identify every RefWorks record. No two Ref IDs are ever the same.

  1. Open the Word document and point the cursor at the place where you will insert a citation.

  2. Type {{ Ref ID}} where Ref ID is the number of the desired RefWorks citation. For example, if the Ref ID is 33, type {{33}}

  3. When all citations have been entered in the document, save a final copy.
