Aeon Documentation for Yale Special Collections: Staff Client Basics

This guide provides information for Yale special collections staff members who are using Aeon to register patrons and provide assistance to patrons with their Aeon accounts.

Logging In & Changing Your Password

The Aeon Staff Client is only available for Windows computers. If you need to use Aeon and do not have access to a Windows computer with Aeon on it, contact LIT at library.helpdesk@yale.edu.

Logging into Aeon

To open the Aeon Staff Client and log in, first find the icon shows immediately below on your computer desktop. Open it by either double-clicking on it, or by right-clicking on it and selecting 'Open' from the drop-down list. If the Aeon Client icon is not on your desktop you may need to look under the Start menu for All Programs --> Atlas Systems --> Aeon --> Aeon Client. You can right-click on the Aeon Client icon in your Start menu to either pin it to your Start menu or create a desktop shortcut, whatever you prefer to make it easier to find and launch on a routine basis.

You may also see the Aeon Staff Manager or the Aeon Customization Manager icons, which have a similar red background. Only a limited number of YUL staff members have access to the administrative functionalities enabled through these other icons.

When you see the Aeon logon screen, shown below, use your Yale NetID (without including "Yale\" as some applications require) in the Username field and the starter password that you were given in the Password field. Once complete, click the OK button or press Enter. It is important to note that although your NetID is your Aeon Username, this is not a Yale CAS logon. Your Aeon password will not match your CAS logon password unless you change it to match. See the note at the bottom of this page for instructions on how to change your Aeon password.

If you did not receive a password for your initial logon, please request one by posting to the Aeon Community Teams channel.  Requests to join the Teams channel can be directed to your supervisor, Trip Kirkpatrick (trip.kirkpatrick@yale.edu), or Alison Clemens (alison.clemens@yale.edu). 

You will know that your login was successful when you see a screen resembling the image below.

 

Changing Your Password

IMPORTANT NOTE: Once you've logged in for the first time with the generic password you were provided, you must change your Aeon Staff Client password to something only you know. To do this, click on the three-line ("hamburger") menu in the upper left-hand corner of the Aeon Staff Client Home screen. Choose Change Password from the drop-down menu, illustrated below. Follow the instructions to change your password. The password requirements are outlined on in documentation on Atlas's website. Yale ITS provides some guidelines on creating a secure password.

 

Seeing the Current Logged-In Person on a Shared Workstation

You can see who is currently logged on to the Aeon Staff Client on a workstation, and also switch logins to your own. To do this

  1. Click on the hamburger menu 
  2. In the drop-down box that opens, the username indicated in position 0 under Recent Staff is the person currently logged in.

To login as yourself, choose the Login As ... icon in the lower right-hand corner of the drop-down box, as indicated by the red arrow below. This will trigger the display of the Aeon login dialog. Follow the standard logon process outlined at the beginning of this page to log in. If asked to "Save layout changes" for the person currently logged in, click Yes and continue.

With few exceptions (such as where a generic staff logon is used), it is important for the purposes of materials tracking and security to be able to rely on Aeon's indication of who completed a certain transaction. If you are not logged in to the computer you're working on, you should ensure you are logged into Aeon with your account before completing a patron transaction in the Aeon Staff Client. This takes less than a minute. If you're leaving a workstation not your own or where you anticipate someone else will need to logon to the Aeon Staff Client, you can click on the Login As ... button (see above) before leaving, and leave the workstation desktop ready for the next staff member's log in. To be more secure (since someone can cancel the Login As action and use Aeon as you), you can choose Exit instead.

 

Changing User Preferences in the Staff Client: Printer Setup & Notifications

Once you have logged in, you will likely want to change a few user options.

Printer Setup

To change your printer setup, go to the three-line ("hamburger") menu in the top left corner of the home screen and select "Printer Setup". 

The Printer Configurations window will open.  If you have never printed from Aeon before, you will not see any entries here.  You will have to print one item (such as a call slip) in order for this window to populate.

Otherwise, you should see an entry for each printer you have previously used. Each one has two check boxes. 

  • If the "Prompt" check box is checked, you will be prompted to select a printer each time you print. 
  • If the "Edit' check box is checked, the document you wish to print will open in Word first each time you print. For service desks and most other situations, it is recommended that you uncheck both boxes.

Notification Settings

By default, Aeon displays a popup window on your computer desktop every time there is a new patron registration or a new reading room or digitization request. Most staff prefer to turn these notifications off. 

  1. In the hamburger menu, click the "Options" button.
  2. Uncheck the boxes listed below (and pointed to in the image) to stop notifications. You may also adjust other Aeon settings in this same manner.
    • Show new loan request alert
    • Show new photoduplication request alert
    • Play a sound for new requests
    • Show new user alert
    • Play a sound for new users
  3. You can also change the frequency of notifications if you don't want to turn them off entirely
