Acquisitions Procedures: Ordering

Ordering for Reserve

Reserve Orders

Print

Please order through Amazon whenever possible.

Order preference is for paperback editions so always choose paperback if available.

It will be common practice to order multiple copies. If you find there is already copy in the system, assume the new order request is for an additional copy which can be added to the bib record found.

When ordering multiple copies of a title, please use separate line items for each copy.

Create the PO, Bib, MFHD, and Item records as you have done with regular orders with two differences:

1.       Type RESERVE in the notes field of the quick line item on all purchase orders for reserves.

2.        In the item record, you must include the words RESERVEHOLD in place of a barcode number. This will enable you to place a copy level instead of title level hold for each copy ordered.

Holds placed at the copy (not title) level ensures that if the copies arrive separately, each will retain its hold when received and processed. With a title level hold, once the first copy is processed, the hold goes away.

The following departments may use the ANDRER fund for all reserve orders:

  • SML Acquisitions/Order Support Team
  • Arts Library
  • Music Library
  • Marx Library

A hold must be placed on each item ordered for the Reserves pseudo patron of the ordering library.

E-book Reserve Orders

1. Check GOBI and Overdrive for availability, if e-book is not available through either of those platforms contact reserves and ask them if they would like a print copy.

  • do not advise Reserve staff to send monograph e-book requests to ERSM

2. For GOBI e-book orders please add title and patron information to sharepoint list NOA tracking

  • this allows us to notify reserves when the e-book becomes available

3. Overdrive records can be loaded shortly after ordering, reserves can be provided a link at that time

  • 24 hour checkouts can be requested for items by contacting our Overdrive rep.
